One of the first questions I get from couples, usually before we’ve even sat down with a cup of tea, is “how much is this going to cost us?” And I completely understand why. Wedding budgets are real, they matter, and the last thing you want is to fall in love with a menu only to discover it’s way outside what you’d planned to spend.  In this article I’ll breakdown how much wedding catering cost per head in Devon for 2025/2026.

So I want to give you an honest, no-fluff answer. Not a vague “it depends” that leaves you none the wiser, but the kind of straight-talking guidance I’d give a friend sitting at my kitchen table.

Here’s what I know after more than a decade of catering weddings across Devon and the South West: wedding catering cost per head in Devon can vary enormously, but they don’t have to be a mystery. Let me walk you through what actually drives the numbers, what you should expect to pay, and how to make sure every penny is working hard for you.

Why Wedding Catering Costs Vary So Much

Before we get into figures, it helps to understand why two couples with similar guest numbers can receive quotes that look completely different.

It’s not just about the food. When you hire a professional catering team, you’re paying for skilled chefs, experienced front-of-house staff, equipment, setup, service, and the hours of planning that happen long before anyone steps foot in your venue. A good catering quote reflects all of that, not just the ingredients on your plate.

The biggest factors that influence your final cost are:

Guest numbers. This is the single biggest driver. Whether you’re feeding 40 people or 140, your per-head costs will shift, and your staffing requirements change significantly. More guests means more chefs, more servers, more equipment, it all adds up.

Service style. A formal, plated three-course wedding breakfast requires more skilled staff and more precise timing than a relaxed sharing-style meal or a grazing table. Both can be absolutely beautiful, they’re just different in terms of what’s involved behind the scenes.

Menu complexity. Sourcing the finest Devon ingredients and crafting dishes from scratch takes time and expertise. A simple, well-executed two-course menu will naturally cost less than an elaborate five-course tasting experience. Neither is better, it’s about what suits your day.

Dietary requirements. I always make sure every single guest is beautifully catered for, whether they’re vegan, coeliac, or have any other dietary need. More complex dietary landscapes do take extra planning and preparation, but it’s something I’ll always work through with you.

Your venue. Devon has the most stunning array of wedding venues, converted barns, coastal estates, country houses, private fields. But some venues require us to travel further, bring in more equipment, or work in more challenging kitchen conditions. That’s always factored into a quote honestly and transparently.


Wedding Catering Cost Per Head in Devon: What to Expect

I’m going to give you real figures here, because I think you deserve them. These are ballpark ranges based on what we offer at Devon Catering in 2025/26. Every wedding is different, and your final quote will be tailored to you, but this should give you a solid starting point.

Canapés — £11 to £14 per person

If you’re having a canapé reception while your guests arrive and you’re off having photos, plan for around four to six pieces per person. This is such a lovely moment in a wedding day, it sets the tone, gets people mingling, and keeps everyone happy while you’re off being photographed in a Devon field somewhere. A well-chosen selection of canapés doesn’t need to cost a fortune, but it should feel special.

Wedding Breakfast (Seated Meal) — £30 to £41 per person

This is typically where the biggest portion of your catering budget goes, and rightly so, it’s the main event. This range covers a plated two or three-course meal, including your waiting staff, chef team, crockery, and full service. At the lower end you’re looking at a beautifully crafted two-course menu. At the higher end, a more elaborate three-course meal with premium ingredients and a more complex service style.

I want to be honest with you: please be cautious of quotes that come in significantly below this range. It can sometimes mean corners are being cut, on ingredients, on staffing ratios, or on the level of care and preparation that goes into your day.

Evening Buffet — £10 to £30 per person

Evening food is so important and it’s often something couples underestimate until I gently remind them that a dance floor full of hungry guests is not the vibe you’re going for! A hearty evening buffet, whether that’s a spread of sharing dishes, a West Country cheese table, or (a personal favourite of mine for Devon weddings) a proper pasty station, keeps the energy going and your guests well-fed into the night.


What Should Be Included in a Good Catering Quote?

This is something I feel really strongly about, because I’ve heard from couples who’ve been caught out by surprise costs further down the line. A transparent catering quote should clearly set out:

  • Staff costs — how many chefs and front-of-house staff will be there, and for how long
  • Equipment — crockery, cutlery, glassware, serving equipment, and any kitchen equipment needed at your venue
  • Setup and breakdown time — the hours before and after your meal
  • Travel — if your venue is further afield across Devon or into the South West
  • Menu tastings — at Devon Catering, I always offer a tasting so you can try your menu before your big day. This should be factored in, not a surprise extra.
  • VAT — always check whether quotes are inclusive or exclusive of VAT

If a quote doesn’t break these things down clearly, it’s absolutely fine to ask. A good caterer will always be happy to explain exactly what you’re getting.


How to Get the Most From Your Catering Budget

Over the years I’ve helped lots of couples work with their budget creatively, and there are some genuinely useful things you can do.

Be flexible on service style. A relaxed sharing menu or a beautifully designed grazing table can be just as impressive as a plated service, and often creates a warmer, more social atmosphere. It’s not a compromise; it’s a different (and often wonderful) choice.

Prioritise what matters most to you. Some couples tell me the wedding breakfast is everything, they want it to be truly memorable. Others tell me the evening food is what they care about because that’s when the party really starts. Know your priorities and we can work backwards from there.

Be honest about your guest list. Evening-only guests cost significantly less to cater for than full-day guests. Making sure your numbers are as accurate as possible early on helps us give you a quote that’s actually useful.

Think about the season. Devon’s seasonal produce is one of my greatest joys to work with. Building a menu around what’s at its very best in the season of your wedding can actually bring costs down while producing more flavourful dishes. A summer wedding with locally grown heritage tomatoes and fresh from the farm meat from the Devon farmers will always outshine something flown in from elsewhere.

A Note on Comparing Quotes

If you’re getting quotes from multiple caterers (which is completely sensible), please try to compare like for like. Check whether quotes include the same number of courses, the same staffing ratios, the same level of service. A quote that looks cheaper on the surface might be stripping out things that will cost you extra later, or simply offering a different standard of food and care.

I always say to couples: ask to meet your caterer in person, or at least have a proper conversation with them. The team who feeds your guests on your wedding day will be with you for the best part of twelve hours. You should feel comfortable with them, confident in their experience, and genuinely excited about the food they’re going to create for you.
